Position Overview
The Administrative Assistant provides essential support to the Chamber Team. This role is responsible for the behind-the-scenes mechanics that keep our membership database, events, and leadership meetings running smoothly. This is a perfect role for a detail-oriented professional who thrives on organization and community impact.

Specific Duties & Responsibilities
Membership Support
· Database Management: Proactively contact members to ensure contact information is current and accurate.
· Directory Maintenance: Regular updates to the online and/or print membership directory.
· Financial Admin: Generate and mail monthly membership invoices and billing letters.
Event Support
· Collateral Preparation: Print nametags, signage, and other materials for Chamber events.
· Revenue Tracking: Pull monthly open-invoice reports to assist the team with payment follow-up.
Ambassador Program Support
· Engagement Tracking: Record and track monthly Ambassador points.
· Meeting Prep: Draft the agenda for the monthly Ambassador Meeting.
Board of Directors & Executive Committee Support
· Packet Assembly: Prepare monthly digital/physical meeting packets for the President/CEO to distribute.
· Agenda Drafting: Consolidate items from the Chamber Team to draft formal meeting agendas.
· Logistics: Coordinate monthly catering for lunch meetings and handle physical room setup/breakdown.
Required Skills & Qualifications
· Education: High School Graduate (required).
· Technical Mastery: Exceptional proficiency with the Microsoft Office Suite (Word, Excel, Outlook).
· Organization: Ability to manage a diverse task list within a 10–15-hour work week.
· Communication: Professional phone and email etiquette for member outreach.
· Reliability: Strong sense of punctuality and deadline management.
Physical Requirements
· Ability to lift up to 30 lbs for event material transport and boardroom setup.
· Comfortable with onsite office work and occasional movement between meeting spaces.
